How to use the Frequency Management Decision Service

Motiva's Frequency Management Decision Service can be configured right from the Eloqua canvas, and applied to any step. Here's how it works.

As a quick recap, Motiva's Frequency Management allows you to limit the number of emails a contact can receive within a certain timeframe. With FM, you can set up multiple rules for your organization that manage how many emails contacts can receive over a period of time. (For a deeper dive into FM, you can check out this help article).

But with the Frequency Management Decision Service, you can configure it right from your Eloqua canvas and you can use the Eloqua email step instead of the Motiva simple email step. As long as the FM Decision step is directly upstream from an Action step, your FM rules will apply.

Here’s how it works.

You’ll select your Segment Members, then drag the Frequency Management Decision Step onto your canvas. You may need to click the triangle next to Campaign Steps to find it the first time.

Double-click to configure the step. Your first option is to select which Frequency Management Rule you want to apply.

Your next option is the Frequency Management Evaluation Period. Treat this like an end date for your campaign. Once the evaluation period ends, contacts will no longer flow into the action step.

Please note that contacts that flow down the X path (to the Wait step shown in our example) and do not receive an email within the evaluation period will not return an error. You can decide what to do with those contacts, such as let them flow into another Wait step or configure another branch to the campaign.

Now you’ll select the Frequency Management Priority from the dropdown:

Motiva will automatically group emails together by priority setting while the campaign is active. Once the campaign has completed, the email is removed from the Email Priority list automatically.

This probably goes without saying, but for the sake of thoroughness, if you select Urgent for every email, then all those emails will be treated equally (and nothing is urgent). Make sure the Priority matches your business goals.

Scroll down a little further, and you’ll see the list of FM rules and their settings as a bit of a refresher. You can also update your organization’s FM rules directly from this screen, if the previously-configured FM rules don’t match your goals.
